Exhibiting at SOMA

Welcome! We're very pleased you've decided to exhibit at SOMA's conference with our intaractive platform! we have some information to make the experience go smoother:
Entering and navigating your booth
SOMA will send you an email message with the link to your booth.
When you click on the link, you may go straight to the platform, or you may be asked to sign in -- if you sign in with email, make sure you use the same address that you use to correspond with SOMA.
Navigating to your booth visually
Once you are on the platform, you may either see something similar to the screen to the left (with the name of your booth in the upper left), or you may need to look on the left and click on "booths" and then choose your booth and click on "enter."
Now look in the upper right part of your screen for the boxes that say "inside" (like the one circled to the right).
Those boxes each represent one of the rooms in your booth -- you can tell how many people are in it by how many little squares are lit up in its box.
To get into your booth, hover your mouse over the rooms and you will see "enter room," as shown in the picture to the far right.
Click on "enter" and you'll be in your booth!
After a few seconds, you can see yourself on the screen, ready to greet your visitors!
Once you're inside your booth, look for the grid that is circled in the picture to the left, and click on that to open the dashboard, where you can set up your booth and upload your brochures and fliers (see below)

- Once you're on the platform, go to "booths," then press "H" repeated until you get to your booth, down-arrow to "enter" button, then you are standing in front of the booth.
- Press "Control F" to search for "inside" and press enter.
- Once you are on "inside", press "insert (0) minus" which will route the JAWS to the PC cursor
which should make the "board room / enter room" button show up. Then the "Plus" key which switches back to the virtual PC,
then push the down arrow twice to the "enter room" button and press "enter."
Now you are in your booth! If you start from the bottom of the page you'll find the same buttons that you have elsewhere in the platform except at the top of those icons is one called "waiting room" -
- How to let visitors into your booth from the waiting room
When you're inside your booth and hear a "ding," it means someone has entered your waiting room.
BE AWARE THAT THEY CAN SEE AND HEAR YOU IN THE BOOTH FROM THE WAITING ROOM!
Inviting people in visually
Click on "waiting room" (top of the buttons on the right) and you'll see who is in the waiting room. Click on their name to send them an invitation.
They can join you by pressing "accept."
Inviting people in with JAWS screenreader
Find the "waiting room" button and then press "enter," then press "L" to get to the list of people in the waiting room.
You can go through the list by repeatedly pressing "I."
To invite them to come into the booth, press "insert - minus" and then hit "Plus" and then down-arrow to hear the person's name and affilication, and then you'll hear the "invite" button, and press "enter" on the invite button and they will then see your invitation.
They can join you by pressing "accept."
Uploading fliers and documents
Accessible pdf files
Exhibitors can upload files (flyers, brochures, etc.) that visitors can peruse in the waiting room -- these materials also appear on the general platform under "handouts"
The files must be in pdf format, and SOMA policy requires that those files must be accessible to everyone, including people who are blind or visually impaired and use screenreaders such as JAWS.
You can make your pdf files accessible easily with Adobe Pro, by simply clicking “scan and OCR." then click "recognize text," or
generate a txt file by the following: file-> export to -> text (accessible). More information is in their guide
To upload files visually
To upload material for your booth, click on the grid that's above the words "brochures & documents" as shown to the left and
you will see two buttons: "handouts" to upload your files, and "setup booth" to choose or upload your background (the background will NOT appear behind you on your screen).
To upload files with JAWS
Either before or after going into your booth, go to the top of the page (CTRL-HOME) and find the dashboard by pressing CTRL-F (JAWS "Find") and search for "Dashboard" and
Press "TAB" to get to the "handouts tab" and press ENTER to bring up the handouts menu.
For some reason it sometimes puts you into forms mode, so you may need to press escape if the next step doesn't work (listen for the forms mode tone when you TAB to the handouts button).
Press H to get the cursor to the top of the handouts side bar and then down arrow until you hear "Drag & Drop here or click."
Press ENTER and upload your files via the standard file manager dialog. To upload more handouts, repeat the steps from Pressing H to jump to the Handouts heading.
Once finished, you can close the handouts sidebar by going to the bottom of the page (CTRL-END) and then pressing SHIFT B once to jump back to the close sidebar button (helpfully titled "unlabled zero button").
Pressing enter on it will close the handouts sidebar
